When you request or provide quotes:

• Forwarded buyer emails, RFQs, tender requests and attachments
• Extracted RFQ fields such as scope, location, products, quantities, missing details and deadlines
• Supplier pricing, catalogue, product, branch and template data where you provide it
• Budget and timeline information
• Communication between buyers and suppliers
• Quote acceptance and payment details
• Quote-pack preparation, draft response, human approval and follow-up status

Usage Data

To improve our service, we collect:

• Pages visited and features used
• Response times and quote performance metrics
• Browser type and device information

Subscription, Credit Ledger and Fee Data

To operate paid quote desk plans and Beffer-fee credit, we may collect and retain:

• Stripe customer, subscription, invoice, checkout session and payment intent identifiers
• Subscription status, plan, billing period, cancellation and inactive-account records
• Credit ledger events for accrual, reservation, application, release, expiry, forfeiture and adjustment
• Order fee calculations, including gross Beffer fee, credit applied, net Beffer fee and supplier payout estimate
• Audit records needed for disputes, refunds, chargebacks, tax, fraud prevention and platform integrity

How We Use Your Information

We use your data to:

• Match buyers with suppliers: Using sector, location, and capabilities
• Run the quote desk: Structure RFQs, flag missing details, prepare quote packs, draft where rules exist and organise follow-ups
• Process quotes and payments: Via Stripe Connect (we never hold your money)
• Manage subscriptions and Beffer-fee credit: Track plan status, successful subscription payments, eligible fees, credit accrual, reservation, application, expiry and forfeiture
• Send notifications: About quotes, orders, and platform updates
• Provide performance insights: Win rates, response times, and activity tracking
• Improve our service: Analytics to understand what works and what does not

Data Sharing

We share your data only when necessary:

• With suppliers: When you request a quote, we share your project details and clarifications needed to prepare a quote
• With buyers: When a supplier-approved quote or clarification is sent, we share the approved content relevant to the case
• With Stripe: For secure payment processing, subscription billing, invoice records, checkout sessions and payment reconciliation via Stripe Connect
• With email providers: To receive forwarded RFQs where enabled and to send notifications and magic links
• With analytics tools: Anonymized data to understand platform usage

We never sell your personal data to third parties.

• Financial records are kept for 7 years (UK tax requirements)

Software-Assisted Processing

Beffer may use software-assisted parsing, extraction, classification and drafting to operate the quote desk. Supplier quotes are not sent without human approval. Suppliers remain responsible for final quote accuracy, price, scope, assumptions, exclusions and fulfilment.
